At Roast & Post, we’re committed to protecting and respecting your privacy

This Policy explains when and why we collect personal information about people who register on our website, how we use it, how we never share it with any third parties and how we keep it secure.

We may occasionally change or amend this Policy from time to time so please check this page occasionally to ensure that you’re happy with any changes. However, the main principles of being clear about when and why we collect personal information, not sharing it with any third parties and keeping it secure will remain constant. By using our website, you are agreeing to be bound by this Policy.

Who are we ?

We are a small, family business dedicated to supplying our customers with the freshest, best tasting coffees that you can buy, sourced from around the world and delivered direct. We aim to give our customers the best customer service we can, and offer friendly advice when it is asked from us. We are an open, honest and friendly business always striving to do the best we can for our customers and in the right way. We are a limited company registered in the U.K (No 4387161). Our registered office is 7 Regent Street, Kingswood, Bristol, BS15 8JX.

How do we collect data from you ?

We collect information from you when you have chosen to register with us after visiting our website, when you buy from us, or when you contact us directly for example to let us know that you have changed your address or have changed your email address or telephone number(s), or if you register with us to receive our monthly email newsletter or postal offers which we send two or three times a year.

What type of information is collected from you ?

The type of information we collect from you might include, your name, address, email address, any special delivery instructions and where a parcel can be left if you are out when it is delivered, what you have ordered from us and when. We also ask for your telephone number which enables us to contact you urgently if there is a problem with your order. For some deliveries this number may be given to our couriers. If you have bought a gift from us that is delivered direct to the recipient we will collect their name and address and any gift message that you would like us to include. When you purchase from us, your card information is not held by us, it is collected by our third party payment processors who specialise in secure online capture and processing credit/debit transactions as explained below.

How is your information used by us ?

We may use your information to:

  • Process orders that you have made
  • Confirm an order with you
  • Update you on the status of your order
  • Update you on the delivery of your order
  • Send you communications about new coffees or related products or offers
  • Communicate last order dates in time for Christmas

We review our retention periods for personal information on a regular basis. We are required to hold some types of information to fulfil our obligations (Accountancy and Company obligations to HM Revenue and Customs) and we will hold your personal information on our systems for as long as necessary for the relevant activity.

Who has access to your information ?

We will not sell or rent your information to third parties.

We will not share your personal information with third parties for marketing purposes.

Third Party Service Providers working on our behalf:

We may pass your information to our third party service providers, agents subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process payment, fulfil delivery, send you our mailings, ). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. We may also provide aggregate statistics about our customers, sales, traffic patterns and related site information to reputable third-party vendors and affiliates. These statistics will include no personally identifying information.

When you are using our secure online payment pages, your payment is processed by a third party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. If you have any questions regarding secure transactions, please contact us.

Your choices

You have a choice about whether or not you wish to receive information about promotional offers, new products and news updates from us. Importantly, we would only ever send you information that advises you of new products that we have added to our range (for example new coffees or teas), or promotional discount/money off offers (for example 10% off all our products for Christmas or 10% off all our products for Spring, or 10% off certain products in our range), or any important news about our service.

Email:

We will not email you (other than the processing and status of your order) unless you have given your prior consent. In other words once you have positively consented for us to do so.

If you have given your prior consent but subsequently decide that you do not wish to receive such emails then you can unsubscribe by visiting ‘Your Account’ on our website and clicking 'Update my email address amd profile’.

Direct Mail:

We will not send you information by post if you have registered with us but never purchased from us, or if you haven’t purchased from us in more than 36 months prior to 1st May 2018 in which case we will assume that you are no longer a customer. We will send our existing customers (those that have purchased in the 36 months prior to 1st May 2018) information about promotional offers, new products and news updates and we will do this approximately two or three times per year. For new customers from 1st May 2018 we will not send you any information by post unless you have given your prior consent. In other words once you have positively consented for us to do so.

Phone:

We will never contact you by phone or text for any reason other than to advise you of an issue with delivery of your product, or non-availability of a product that you have ordered from us, or unless you have specifically requested that we contact you.

How you can access and update your information

The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date, please log on to your account using your email address and password, click on ‘Your Account’ at the top right of the screen, click and update/change any of your details as required (email address, address, phone number etc). Security precautions in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information that you input (such as credit or debit card details) is encrypted and protected with an SSL certificate. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Profiling

We do not analyse your personal information for any purposes whatsoever other than to detect and reduce fraud and credit risk or to verify your postcode for accurate and timely delivery.

Use of 'cookies'

Like many other websites, the Roast and Post Coffee website uses cookies. 'Cookies' are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. They collect statistical data about your browsing actions and patterns and do not identify you as an individual. This helps us to improve our website and deliver a better more personalised service. Our cookies do not contain any personally identifying information, but they do enable you to store items in your shopping basket. Most web browsers automatically accept cookies, but you can usually prevent your browser from doing so. 

It is possible to switch off cookies by setting your browser preferences. However, please note that if you choose to do this you may experience problems using our website as cookies are required to be enabled for the ordering process to work.

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian's permission beforehand whenever you provide us with personal information.
